Executive Assistant Position @ ULOHC

                        EXECUTIVE ASSISTANT

Our busy office is currently accepting applications to fill the role of Executive Assistant to the President and Chief Executive Officer (CEO) of the Urban League of Hudson County (ULOHC). The Executive Assistant serves as the primary support staff in the Executive Office and confidential Secretary to the President/CEO. To be successful in this position, the candidate must be results oriented and have the ability to effectively prioritize and manage the workflow to and from the Executive Office

Duties and Responsibilities

The successful candidate will perform a multitude of different task and provide a variety of administrative support functions to the President /CEO, such as:

  • Organize meetings involving multiple senior executives and other staff members
  • Plan, organize and co-ordinate functions and special events on behalf of the President/CEO
  • Assist with the preparation of agendas and materials for monthly and special meetings of the Board of Trustees
  • Prepare and/or edit both internal and external communications including: reports, faxes, memos, emails and all other types of correspondences
  • Ensure the proper flow of communications and dissemination of information from and to the President/CEO and all department heads, staff and other agency stakeholders
  • Receive and screen visitors and incoming calls and/or emails to the President/CEO
  • Determine the priority of matters and direct or redirect to the responsible party
  • Ensure the timely transmittal of monthly and quarterly  financial reports and updates from the ULOHC to the National Office of the Urban League
  • Co-ordinate the President/CEO’s schedule, appointments, reservations and travel arrangements
  • Review grant applications to ensure accuracy and completeness prior to submittal to funding sources
  • Serve as the President/CEO’s liaison to the National Office of the Urban League
  • Basic Office Management: Order supplies, process approvals for payment. Routine Communications with departmental personnel and a large and diverse staff on behalf of the President/CEO
  • Other duties as may be assigned by the President/CEO

Qualifications and Education

Applicant must have:

  • A bachelor degree is Secretarial Science, Office Administration or a related field
  • A minimum of 2 years prior experience in a Senior Secretarial or Administrative Assistant position
  • Excellent computer skills with a working knowledge of Microsoft Word, Excel, PowerPoint, Outlook and accessing/using the worldwide internet
  • Ability to maintain strict confidentiality of agency information and records
  • Exceptional writing and verbal communications skills
  • Ability to conduct oneself in a friendly, courteous and professional demeanor at all times

Compensation

The position of Executive Assistant will pay an annual competitive salary with benefits commensurate with industry standards.
